Board Meeting Minutes: June 23, 2020

Meeting conducted via videoconference 

Board Members Present:  Peter Levy, President; Katharine Flanders Mukherji, V.P.; Andrew Kurland, Sec.; Matthew Pilkington, Treas.; Malik Ashiru; Michael Tedesco, Cameron Martin, Terra Chalberg; Hannah Berkin-Harper 

Also in Attendance:  Valdet Boleviq, Superintendent; Kathleen Malara, EM Holding Corp. 

Superintendent’s Report: 

  • Rodent activity reported in some units, though others in previously affected units have noticed improvement.  We will ensure window well drains are appropriately covered to prevent access.   
  • We will be draining the boiler in early September before the heating season to allow for people to make modifications and repairs to their radiators and valves in their units. 

Financials: 

  • The Condo’s finances were reviewed, and everything is in good order.  However, we have significant upcoming expenses so, as always, will be vigilant about expenditures. 

New Business: 

  • Peter, Katharine, Matthew, and Andrew volunteered and were elected to continue their service as officers on the Board. 
  • The Board discussed and will be instituting temporary rules regarding conduct in Common Areas in light of COVID-19.  These rules will be posted in the buildings and on the website. 
  • The Board decided to wait to proceed with the next phase of the 120 Boerum roof repair until the necessary structural repairs are completed to the wall at 15 Bergen, the start of which was delayed due to COVID.  These repairs are now scheduled to occur in July.  
  • The Board discussed distributing to owners the engineering report which identifies areas of potential future repairs/improvements, but was advised by counsel not to, and have chosen to follow the advice of counsel.  Owners who have desire to see the report can schedule a time to view the report by contacting building Management. 
  • Our attorney is challenging an improper collection action regarding a purported FDNY fine of which we had no notice. 
  • The Board discussed renovations to the lobby at 134 Boerum in light of comments received at annual meeting.  We will begin formulating plans for improvements with residents of 134. 
  • The conversion of the “Hot Tub” into a meeting space was put on hold in light of COVID. 

Other Important Reminders and Updates: 

  • Please contact EM Holding by phone or the website if you would be interested in having a professional inspect your unit for rodent activity/access points; depending on interest we may be able to coordinate and negotiate some sort of bulk discount for such services. 
  • Please also contact EM Holding by phone or the website if you intend to have work done on your radiators/valves when the system is drained in September, so that this work can be coordinated.

Reminder that the Skytrack Annual Meeting will take place tomorrow. The meeting will commence at 8 PM, and the video/teleconference line will open at 7:45 PM.

2020 Annual Meeting

The Annual Meeting of the Skytrack Condominium will take place on Tuesday, June 16 at 8 PM via Zoom Video or Teleconference.

Note that three Board Member terms expire this year, and their seats are up for election.  All owners are invited to run for available seats.  Please inform EM Holding Corp. if you would like to run.  We will vote at the meeting.

The video/teleconference will open at 7:45 PM so we can start the meeting promptly at 8:00 PM.

120 Boerum Roof Project to Commence

Please be advised the roof repair/resurfacing project at 120 Boerum is scheduled to commence this week (week of May 11). The initial phase will include the areas above “A” and “B” apartments, as well as the entirety of the “penthouse” roof structures. Note that portions of the track and common area decks will be unavailable for use during the project so that equipment and materials can be staged. This phase is expected to take approximately one week, but the work is weather dependent, so may take a bit longer.

Board Meeting Minutes: April 28, 2020

Also in Attendance:  Valdet Boleviq, Superintendent; Kathleen Malara, EM Holding Corp.

Superintendent’s Report:

  • In light of COVID-19, the Super and Porter are regularly cleaning and disinfecting commonly touched surfaces, including doorknobs, railings, trash chute doors, recycling and garbage containers, etc.  These extra efforts will be continued until the crisis subsides.
  • The boiler was drained, inspected and repaired to address a leak and other areas of concern. 
  • Roof ventilation fans have been inspected and those that were not operating properly will be repaired and/or replaced.
  • DOB Approvals for the repairs to the rear wall at 15 Bergan have been delayed due the COVID crisis; work will commence as soon as possible.
  • The first phase of the 120 Boerum roof replacement project will begin as soon as the COVID restrictions on construction have been lifted.

Financials:

  • The Condo’s finances were reviewed, and everything is in good order.

New Business:

  • The Board further discussed ensuring the boiler corrosion issue is adequately addressed, and once heating season is over will look further into corrosion inhibitor additives.
  • The Board discussed revised, less expensive bids received for refurbishing the “hot tub” room for Board meeting purposes.
  • The Board discussed arranging for Unit owners to be able to sign up for a visit by a pest control expert, to assist owners in sealing up openings where mice could enter.  The Condo is considering subsidizing a portion of expenses.  Further details will be provided as we continue to discuss this plan.
  • The Board decided to move forward with conducting the Annual Meeting virtually.

Other Important Reminders and Updates:

  • The 2020 Skytrack Annual Meeting will take place on June 16th, via webconference/teleconference in light of the COVID crisis.
    Additional details will be provided.
  • Please advise EM Holding if you would like to run for one of the three available Board positions.  An election will be held at the Annual Meeting.
  • Our Super, Val, has kindly offered his assistance to those residents who are most vulnerable during this COVID-19 crisis.  Please contact him should you need assistance.

Automatic Debit for Common Charges

As mentioned in the meeting minutes, owners can now sign up to have their monthly Common Charges debited from their bank accounts automatically. The sign up form will be distributed to all owners, and also has been posted on the website under the “Documents” tab. Please review the instructions on the form for more details and to sign up. Note that this is an optional service.

Updated: Boiler Issue

3/10/2020 update at 1:45 PM: The boiler repairs have been completed, and the boiler has been restarted. Hot water should be available soon.

3/10/2020 update at 10:00 AM: The boiler was reactivated after temporary repairs, but will have to be shut down again so a more permanent fix can be implemented.

The boiler had to be shut down due to a leak that developed this evening (3/9/2020). There will be no domestic hot water or heat in the buildings until the leak is repaired and the boiler can be fired back up. The Super is in contact with the boiler company for emergency repairs.
