Board of Managers Meeting Minutes: December 8th, 2015

The meeting convened at 7:30 pm and was adjourned at 8:45 pm.

 

Superintendent’s Report:

  • As discussed at the 2015 Annual Owners Meeting, and at the recommendation of our Accountant, Mark Levitch, an 8% increase in Monthly Common Charges for all owners will commence January, 2016. All owners should have now received an official notice, and all monthly common charge bills will reflect the adjusted rate as of January, 2016.

 

 

  • Repairs to the cladding on the outside of the staircase at 120 Boerum Place have been completed.
  • Brick repointing at 134 Boerum Place has been completed.
  • Repairs to brick pointing and mortar repair in the courtyard near the I-line, near the “skybridge” at 120 Boerum Place have been completed.
  • A new lock for the package room has been installed. Please remember to lock the door when you are finished accessing the room.
  • Emergency lighting will be updated throughout 120 Boerum Place.
  • Investigating to see if noise generated by the new garage door operation may be reduced. Keys still being distributed to garage space owners. If keys are not functioning properly, please report to Jose.
  • The sensor light over the entry at 134 Boerum Place is being investigated for possible malfunction.
  • The board is examining the lighting plan for the exterior lights throughout the Skytrack complex, to see what improvements may be made.
  • The next board meeting has been scheduled for Tuesday, January 26th, at 7:30pm.

Financials:

  • The financial statement was reviewed, and aside from a few units in minor arrears, everything is in good standing.
  • PLEASE NOTE: Common charges will go up 8% beginning January 1st.

The Board would like to wish you happy and healthy holidays. Please remember that this is the time of year to reward José and Patrick for their excellent work.

  • Remember, also, that in bringing holiday trees in and out, cleaning up the dropped needles in the hallway and lobby is the owner’s responsibility and should not be left to the employees. José will have oversize plastic bags available for tree transportation.
  • Please be careful if using open flames/candles. Let’s keep Skytrack safe.
  • If you currently have automatic payments established for your monthly common charges, please plan to update then service to reflect the new amount. The new amount will be stated in the official notice letter sent to owner from E & M Holding Corp.

NOTICE FOR 120 BOERUM PL. RESIDENTS

In 120 Boerum Pl., a new lock for the package room is being installed, and a single key for access will be inserted under the door of each current resident of that building. Packages that are locked in the package room may now be picked up by recipients using their key.  Do not distribute this key to others who are not residents of the building.  Please pick up all packages from the package room/lobby as promptly as possible, and only schedule deliveries when they can be picked up by you the same day.

As a reminder, the Condo and the superintendent/porter cannot accept responsibility for packages.  Therefore, please ensure your delivery preferences with your carrier are established as appropriate (for example, requiring your signature for valuable deliveries).

Bring your unwanted and broken electronics to our e-waste collection event!  This collection event runs from 10 am – 4 pm, rain or shine.

E-Waste

The Ecology Center’s electronic waste reuse and recycling program offers free, responsible disposal of working and non-working electronics to New York City residents, small businesses and non-profit organizations. We offer e-waste collection events seasonally in neighborhoods throughout the city and also accept equipment five days a week at our Gowanus E-waste Warehouse. Reusable and refurbished items are available for sale at the Reuse Store, which is located in the Gowanus E-waste Warehouse.

Board of Managers Meeting Minutes: 9/21/15

The meeting convened at 7:30 pm and was adjourned at 9:10 pm.

Superintendent’s Report:

  • Necessary repairs to the cladding on the outside of the staircase at 120 Boerum have commenced.  Scaffolding may be erected on the outside of the building, or in a courtyard area to facilitate these repairs.
  • Repairs to brick pointing and mortar repair in the courtyard near the I/J/K line at 120 Boerum Place are in the process of being estimated. Once approved, work will commence.
  • The heating system will not require a new pump, as the diagnosis on the existing pump is that it had become mis-aligned. It will be serviced prior to the heating system being reactivated.
  • Repair or replacement to loose and/or stained carpet tiles to re-commence.
  • The roof of 134 Boerum has a leak, and is being investigated. A roofer is being brought in for investigation.

New Business:

  • The board approved Patrick to replace Alex as porter. The board also gave Alex a farewell bonus and good wishes for his new position.
  • Improper trash disposal is occurring in the Skytrack buildings. A mattress and box spring was improperly disposed of recently, and the condo has received a $100 fine as a result. PLEASE be respectful to the community and your neighbors and PROPERLY DISPOSE OF BULK TRASH ITEMS. Mattresses and box springs must be properly bagged and disposed of on specific days and not before. An old toilet was also deposited on the street, near the Dean St. exit.  Our staff retrieved it and put it out on the proper collection day.  The owner responsible has been fined $50. PLEASE see Jose if you have a BULK TRASH ITEM to dispose of.
  • NOTICE: Improper disposal of any bulk or electronic item will result in a fine by the condo association to the resident responsible.
  • The malfunctioning front door lock to 120 Boerum has been inspected and adjusted.  We will continue to monitor to the extent it causes further issues.  Please remember to always ensure exterior doors throughout the Skytrack Condo shut and lock behind you when you enter or exit.
  • New keys will be distributed to garage space owners, as a new high-security lock is being installed on the garage entry door.
  • The list of specific super duties (in development) was reviewed.
  • The board is requesting a recommendation from our accountant, Mark Levitch, on the amount we need to raise common charges in order to maintain a healthy budget.
  • The next board meeting has been scheduled for Tuesday, October 27th, at 7:30pm.

Financials:

  • The financial statement was reviewed. Everything is in good standing.

PLEASE NOTE:

  • NOTE: Skytrack Condo cannot take responsibility for any packages left at the building by couriers. Please collect any of your delivered parcels that couriers leave in the lobby within one day of their delivery, if at all possible. The board is actively discussing options for resident access to packages.

Board of Managers Meeting Minutes: June 30th, 2015

Board Members Present:  Peter Levy, Pres.; Katharine Flanders Mukherji, V.P.; Hannah Matthew Pilkington, Treas.; Michael Tedesco; Andrew Kurland. Also in attendance: José Perez, Superintendant; Elia Malara, Managing Agent.

The meeting convened at 7:30 pm and was adjourned at 9:00 pm.

Superintendent’s Report:

  • Work at 134 Boerum Place continues, addressing some damage from a leak in a common area neighboring unit.
  • Roof work for 134 Boerum Place is currently being estimated.
  • Carpet tiles have been re-glued in hallways, lights were replaced, and general maintenance has been conducted as normal.

New Business:

  • Matthew Pilkington has volunteered to serve as the Condo Board Treasurer, and Levi McConnell has accepted another year term as Condo Board Secretary.
  • The board has been presented with an estimate to install the hot water pump. Additional quotes are being obtained from service vendors.
  • The open/close controls for the garage will be examined, as the switch has been reported as malfunctioning.
  • The next board meeting has been scheduled for Tuesday, September 22nd, at 7:30pm.

Financials:

  • The financial statement was reviewed. Everything is in good standing.

PLEASE NOTE:

  • As the weather gets nicer, please be mindful to not disturb your neighbors who live adjacent to, and underneath the skytrack, by running on the track or making excessive noise while enjoying the common areas.

RECYCLING:

  • Please, NO plastic bags in the recycling.
  • PLEASE bundle your cardboard and tie or tape it together for removal.

Annual Meeting Minutes – June 15, 2015

Attending Board Members: Peter Levy, Pres.; Katharine Flanders Mukherji, V.P.; Levi McConnell, Sec.; Hannah Berkin-Harper, Treas.; Madeleine Milan; Terra Chalberg; Matthew Pilkington.

Also Present: Elia Malara (Managing Agent), Mark Levitch (C.P.A.), Jose Perez (Superintendent)

  • The meeting convened at 8:00pm.
  • Sitting board members introduced themselves.
  • Proof of notice of the meeting was provided.
  • The reading of last year’s meeting minutes was waived.
  • A quorum was achieved with 60.55% representation.

I. Financials: Mark Levitch’s Report

  • Mark Levitch presented the Skytrack Condo annual financial report.
  • Real estate tax protest process has been initiated.
  • The financial situation of Skytrack Condo was reviewed and continues to be in order, with a small cash surplus. The board will review the surplus, reserves, and common charges in monthly meetings to come.
  • Mr. Levitch recommended a possible increase in common charges, which the board will review in future meetings.

II. Maintenance: Elia Malara’s Report

  • Elia Malara shared some of the building improvements for the past year.
  • Several improvements and repairs have been made throughout the Skytrack Condo complex, including roof repair, new pavers at entries, boiler and pump repair/replacement, new steel doors, carpet cleanings, and more.
  • Matthew Pilkington has continued his beautification of the various planters that surround the Skytrack complex, and we thank and applaud him for his efforts.

III. Elections

  • Five places were up for election. Of these, two were vacated by members stepping down, one by a member having stepped down a few months earlier and having been replaced by the board’s temporarily selected replacement, and two were for members whose terms were expiring and who were willing to run for new three year terms. The board requested at least 2 owners volunteer for a term. Andrew Kurland and Michael Tedesco offered to put themselves up for election, to join the board for the new term. The new board was elected unanimously.
  • Matthew Pilkington was officially elected to the board for a full term, after serving as a temporary board member.

IV.Vote to Amend the Condominium By-Laws

Board member Matthew Pilkington brought forth a ballot initiative to investigate allowing owners of garage parking spaces to add approved bicycle racks to accommodate 2 non-motorized bikes. Ballots were tendered to Matthew Pilkington.

V. Other Housekeeping Items

  • Electronics recycling regulations have changed recently. Now, at least 12 items must be collected in a multi-family building before a pickup can be scheduled. Please see Jose for details on how best to dispose of electronics. Residents may also drop off electronics at any area facility. A list of these facilities will be posted on the bulletin board.
  • Sunday evening is the night to place “bulk trash” non-recyclable items outside for pickup. – Personal items, such as umbrellas, shoes, and bicycles cannot be left in Common Areas. – A reminder to please keep common areas clean and quiet, even when legitimately entertaining.
  • Skytrack’s website is www.skytrackcondo.com. Please register to use the Skytrack Website. It features many useful documents related to Skytrack, and important contact info for the management and super.
  • No clothes dryers may be connected to any exhaust line due to fire hazards. Condensation-type dryers are widely available, are permitted and do not present the same danger.
  • The Skytrack Board of Managers suggests that all owners install shut-off valves for their water supply to their units. This is best done when a renovation is occurring, or when other  plumbing work is being done.
  • No items other than motor vehicles may be stored in the garage.

VI. Follow-Up Items for the Board

  • The building is continuing to monitor when Verizon FIOS will be available in our area.
  • The board will continue to examine options for utilizing the space on the roof of 120 Boerum Place that used to house the hot tub room several years ago.
  • The board has begin discussions about ways to improve the appearance of the entry of 120 Boerum Place.

  • If any residents notice an issue or problem with any of the common elements, please alert the management company, Superintendent, and board members via the links provided on the Skytrack Condo website. In an emergency, please alert Jose directly.
